CampHQ is operated by Merr Digital LTD, registered in England and Wales under company number 17320278. Our registered office is 66 Paul Street, London, England, United Kingdom, EC2A 4NA. References to "CampHQ", "we", "us", or "our" mean Merr Digital LTD trading through the CampHQ service and website.
Acceptance And Authority
By accessing or using the CampHQ website, support area, event tools, or related services, you agree to these terms. If you use CampHQ for an organisation, you confirm that you have authority to accept applicable terms for that organisation.
Using CampHQ
You must use CampHQ lawfully, responsibly, and only for legitimate event management, support, enquiry, or related purposes. You must not bypass security, upload malicious content, interfere with availability, scrape the service, or use it in a way that harms people, organisations, systems, or data.
Accounts
You are responsible for keeping account details secure and for activity carried out through your account. Tell us promptly if you believe an account has been compromised. Support messages should not contain unnecessary sensitive information.
Event Data And The Data Processing Addendum
The organisation operating an event is the controller of event booking and operational information. Merr Digital LTD acts as its processor. Our Data Processing Addendum applies where it is incorporated into the customer agreement and contains the required processor terms.
Organisers are responsible for their collection purposes, lawful bases, Article 9 conditions, privacy information, safeguarding arrangements, authorised users, retention choices, and responses to individuals. We provide controls and assistance but do not select those legal grounds for them.
Portable Staff Profiles
Merr Digital LTD is the controller for the optional portable staff profile and the staff member's sharing choices. A staff member may grant a named organiser revocable, field-scoped access. The organiser becomes a separate controller for its access and use and must use the information only for the stated event or safeguarding purpose, restrict access, respect withdrawal, and not create unnecessary copies.
Withdrawal blocks future access but does not undo lawful prior use or records an organiser must independently retain. Organisations must not require use of the portable medical profile where the information can reasonably be provided another way.
Payments
CampHQ does not receive or store payment-card details. Where online payment services are introduced later, additional provider and payment terms will be supplied before use.
Availability And Changes
We aim to keep the service reliable, but do not guarantee uninterrupted or error-free availability. We may update, suspend, withdraw, or change parts of the service for maintenance, security, operational, legal, or business reasons.
Intellectual Property And User Content
The CampHQ name, software, design, documentation, logos, and website content are owned by Merr Digital LTD or its licensors. You retain responsibility for content you submit and confirm that you have the rights and permissions needed for it to be processed.
Third-Party Services
CampHQ may use contracted providers for hosting, email, mapping, routing, notifications, support, logging, or other operations. Current providers are listed on the Subprocessors page.
Liability
CampHQ is provided with reasonable care on an "as is" and "as available" basis. Nothing in these terms excludes liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or rights that cannot lawfully be excluded.

Governing Law
These terms are governed by the laws of England and Wales. The courts of England and Wales have jurisdiction, except where applicable consumer law gives a person the right to bring a claim elsewhere.
